Organization Overview

Breaktime (www.breaktime.org) is a 501(c)(3) non-profit working to break the cycle of young adult homelessness. We believe that it is time to break down barriers, break apart stigmas, and break into systems that hold back young adults experiencing housing insecurity. Through transitional employment and financial empowerment, Breaktime works to ensure job security, financial security, and ultimately housing security for these young people.

Roles and Responsibilities
 
Overview: 
 
We’re looking for an Office Manager to support the Executive Director who is responsible for overseeing the Programs, Policy, HR, Development, Communications, and Operations Departments. This role will coordinate and manage executive scheduling, prepare and organize important legal and strategic materials and plans, and support office management duties. 
 
The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the Executive Director’s needs. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the Senior Management Team, Board of Directors, and leaders that report to the Executive Director. To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, personnel and institutional information while exercising professionalism and discretion.

 
Primary Responsibilities: 

Executive Support

  • Manage the Executive Director’s scheduling & calendar and align meetings to organizational priorities and workflow
  • Monitor Executive Director’s email inbox and prioritize internal and external follow up
  • Format information for internal and external communications including emails, memos, and presentations
  • Manage registration and travel logistics for the ED and senior staff
  • Draft, review and send communications on behalf of company executive(s)
  • Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
  • Maintain various records and documents for company executive(s)
  • Other duties as assigned by the ED


Operations Support

  • Monitor front desk operations and volunteers who provide support for this function
  • Answer and respond to phone calls and manage info@breaktime.org email
  • Assist in monitoring and ordering office supplies & food
  • Coordinate and update space calendar
  • Manage mail handling as designed by departmental leaders
  • Monitor front desk operations and volunteers who provide support for this function
  • Support with event coordination and planning


Reports to: Blake Noyes (Operations Director) and Connor Schoen (Executive Director)


Supervises: N/A

  • Experience working in a nonprofit organization (preferred)
