Job Description

Overview: Founded in 1974, Public Responsibility in Medicine and Research (PRIM&R) is a nonprofit organization based in Boston’s historic Back Bay. We are dedicated to advancing the highest ethical standards in the conduct of research, accomplishing this through education, membership services, professional certification, public policy initiatives, and community building. Position Summary: As a key member of PRIM&R’s senior management team and trusted partner to the Executive Director, the Managing Director oversees the day-to-day administration of the organization and ensures PRIM&R has the staff, the resources, and systems needed to implement the organization’s mission, strategic plan, and vision.

Key Responsibilities: human resources, information technology, finance, operations, and facilities.

Human Resources:

  • Oversees all HR services, including; recruitment and onboarding, compensation and benefits, staff development, performance management, regulatory compliance, documentation.
  • Develops and administers personnel policies and procedures.
  • Manages PEO vendor services.

Information Technology:

  • Oversees technology infrastructure and coordinates integration of systems.
  • Ensures efficient and effective management of technology platforms.
  • Assesses current platforms and recommends processes for improvements as needed.

Finance:

  • Oversees internal and external financial systems and services.
  • Manages the organization’s short and long-range financial planning.
  • Oversees the development and implementation of the annual budget.
  • Reviews financial reports and the annual audit.
  • Manages the Board of Directors Finance Committee.

Operations:

  • Creates and oversees annual workplan goals for operations activities (HR, finance, and administration), ensuring execution and documentation.
  • Oversees physical plant needs.
  • Serves as a trusted partner to the Executive Director.
  • Serves as member of the senior management team.

Knowledge and Skills:

  • Deep understanding and working knowledge of how nonprofits function, including: human resources principles and practices, technology systems, financial management, compliance and regulations, etc.
  • Demonstrated expertise in strategic planning and execution, organizational development, and staff management.
  • Strong technology skills, including proficiency in Microsoft Office Suite, CRM/AMS database (i.e. Salesforce), LMS platform, etc.
  • Solid experience working with boards of directors, including managing sub-committees, developing and delivering financial presentations, executive communications, etc.
  • Significant knowledge of financial systems and management, including budgeting, audits, reporting, compliance,etc. 

Relationships:

Internal: Works most closely with the Executive Director and the senior management team. Manages the Staff Accountant, Assoc. Director of Operations, and the Operations Assistant. Supports the entire staff regarding HR, IT, finance, and administrative needs.

External: Works with the Board of Directors, but most closely with the Finance Committee and the Treasurer. Also works extensively with external vendors, such as banking and investment institutions, PEO provider, auditor, landlord, etc.
