Executive Assistant

Primary Purpose of Position: Provide professional support to the CEO, CSO, COO and Board Members as needed. This is a 25 to 30 hour per week position. Essential Functions: Develop and maintain positive working relationships with staff, internal departments and Executive Staff Team. Manage highly confidential information on behalf of CEO/CSO/COO and other Senior Managers Manage CEO's calendar, schedule calls and meetings Receive, screen, and respond to incoming calls and mail for the CEO Manage and prioritize Executives' calendars Meet guests and book conference rooms as necessary Schedule quarterly executive staff meetings, set agenda and follow up on action items. Coordinate and prepare complex travel arrangements and meetings for Executives. Process expense reports Coordinate and communicating with key external stakeholders, including senior leaders in academia, industrial, or governmental organizations Coordinate all aspects of Board Meetings, Executive Staff Meetings and Portfolio Management Committee Coordinate, track and follow-up on all legal document review with outside Pharma, Academia & clinical site All other duties as assigned Non-Essential Functions: Attends periodic staff meetings and training sessions. Complies with proper paperwork procedures, prompt follow-up communications and departmental policies. Requirements and Qualifications: Bachelor's degree required, Master's degree preferred. Minimum of 5-7 years of demonstrated functional Executive Assistant experience. Experience within Biotech or Pharmaceutical environment not require but preferred. Strong interpersonal and communication skills (verbal and written) Advanced computer skills required including Microsoft Office Suite Ability to handle multiple task and to prioritize with a proven attention to details Strong organizational and project management skills Excellent decision-making and problem-solving skills Ability to work autonomously and to efficiently & effectively provide status reports Strong English skills (verbal and written) Passion to support ALS TDI's mission to end ALS Internal and External Contacts: Interfaces regularly with general employee population in person. Interfaces regularly with donors, patients and other populations in person and on the phone. Interfaces regularly with outside vendors in person and on the phone. Reporting Structure: This position reports to the CEO.
