POSITION SUMMARY
West End House seeks a detail-oriented individual with strong organizational skills to serve as the full-time Development Operations Coordinator. This individual will report to the Chief Development Officer and work closely with the Development Team and CEO, and will be responsible for key development functions including database management, donation processing, events, communications, and administrative support.

 

RESPONSIBILITIES

Database Ownership

·         Maintain the fundraising database (Raisers Edge), ensuring that all information is entered according to protocol, updated, and accurate.

 Donation Processing & Stewardship

·         Enter all gifts into donor database with accurate information on donor intent, purpose, etc.

·         Draft thank you notes to be signed by CEO and mailed within 24-48 hours after receipt of gift.

·         Reconcile all contributions with finance department.

·         Manage all in-kind contributions and coordinate distribution of gifts.

·         Notify Development Team and CEO of all gifts made by Board of Directors, Board of Advisors, and donors whose annual giving is greater than $1,000 within 24 hours of donation.

 Event Management

·         Provide critical support in managing details related to our Annual Celebration in the spring (West End House’s largest fundraising event), including maintaining the event schedule, communicating with all staff regarding upcoming deadlines, and keeping track of all event details.

·         Manage and maintain all vendor relationships (graphic designer, printer, caterer, event production, photographer, valet, etc.) leading up to and during the night of the event.

·         Maintain and monitor event budget

·         Provide support in managing other annual friendraiser and program-related events including: Commercial Real Estate Event, Boston Marathon (via John Hancock Nonprofit Program);
Light of Dawnn, Biggest Fun Ever, as well as other events as needed.

·         Manage all logistics of event committee meetings and calls, including scheduling, preparing materials, setting up room, coordinating food for meetings, etc.

 Communications (Print & Online)

·         Manage production process and schedule for annual appeal, mailed to 3,000+ constituents in October/November.

·         Update website; ensure that all posts are accurate, timely, and integrated.

·         Manage production process and schedule for newsletters.

·         Maintain and prepare all marketing collateral in easily accessible folders for use in meetings with external constituents (donors, partners, etc.).

Relationship Building

·         Connect with and build relationships with all West End House stakeholders including staff, Board members, Advisors, volunteers, donors, alumni, and members.

 Administrative Support

·         Assist in the logistics of donor site visits, monthly board meetings, and other events or meetings that require significant planning and execution.

·         Maintain copies of all gift records in accordance with audit procedures and protocol.

·         Maintain documents on server related to all development functions.

·         Provide administrative support to the CEO and the Development Team (scheduling, filing, drafting correspondence, etc.).

·         Raisers Edge experience a plus.

·         Bachelor’s degree preferred, with 1-2 years of experience in related field

SALARY AND BENEFITS
Salary: $42,000-$46,000 depending on experience; our comprehensive benefits are designed to enhance all aspects of our employees’ lives: physical health, financial security, general well-being and professional development. West End House is an independent Boys and Girls Club in the City of Boston that has been transforming the lives of immigrant and urban youth since its founding in 1906. Our mission is to inspire and enable young people, especially those from disadvantaged backgrounds, to realize their potential as productive, responsible and caring citizens. Located in the Allston neighborhood of Boston, West End House operates six days a week in its 42,000 square foot facility and has a $3.8 M annual budget. We have 28 full-time staff who deliver a broad scope of programming for 1,700 members between the ages of 7 and 24 including 250 college age West End House Alumni in four core areas: leadership and life skills; academic support and college preparation; sports, fitness and nutrition; and visual and performing arts.
